Keep It Safe
Successful fundraising is not just about the final sum raised, it is about providing a safe environment and a hazard free event. Limiting the risk is in everybody’s interest.
Headway Essex cannot accept responsibility for accidents at your events, so please make sure your venue, event or activity is safe for everyone attending.
Here are a few hints and tips to help you ensure your event runs safely and smoothly:
- Make sure that the venue you have chosen is suitable for the event you are running. Does it have toilets, chairs, tables, fire exits etc clearly marked?
- Does it have disabled access and facilities for people with disability?
- Ensure that it has an adequate public liability insurance; when hiring a venue they are responsible for providing a safe environment. If in doubt about the insurance cover of your event, speak to your insurance company.
- Ask for a copy of the venue’s Risk Assessment and Fire Policy and if there are any health and safety issues you need to be aware of.
- At the beginning of the event ensure you inform all the people where the fire exits are and where the fire assembly point is. Make sure that all fire exits are clear of obstructions.
- All venues are now non smoking, so do advise anyone smoking to leave the building and smoke outside.
- Undertake a risk assessment of the building and your event and think about what action you would take to minimise the risk and what to do if it occurs.
- It is important to have a first aid kit at your event and a qualified first aider in the event of an accident. You could contact St John Ambulance to see if they are available, and offer them a donation for their support. Click here for their website
- Before your event starts, take a look around and check that there are no hazards for example and trailing cables or the fire exits being blocked.
- Ensure that you have enough people to run the event safely, and if you are running an event for children that everyone has the appropriate CRB checks so that the children are not at risk.
- Ensure that you have a telephone available in case you need to call anyone in an emergency or the emergency services. Also share your mobile phone number with the other people who are helping you so that you can contact them in the event of an emergency.
- Anyone preparing food at your event should have a Basic Food Hygiene Certificate.
- It is always helpful for those who are running the event to have some form of clothing which identifies them as the organiser or helper. Badges, tabards, sashes, high visibility jackets etc.
- Make sure that you consider the safe handling of the cash. Do not put anyone at risk by allowing them to handle cash on their own. Always store the cash safely before, during and after the event and always count the cash in pairs. Give and get receipts for all income and expenditure.
- Always ask permission before taking photos. This is particularly the case with children.
- If you want to use a photo for publicity purposes, always ask permission of those in the photo before doing so.
